Delegate Service Specialist – Sofia

Kenes Group is looking for Delegate Service Specialist (DSS) to join our Original Events department.

Responsibilities:
• Registration management in accordance with predefined work plan/timetable and in keeping with Kenes’ congress registration policies/guidelines
• Responsible for entire registration “life cycle” including entering participant data, communication with all parties involved in the registration process, generating registration reports based on relevant data to finalize accounts with all suppliers post-congress
• Manage hotel room block for all invited speakers in sync with the Accommodation Sales team
• Responsible for written communications, promotional and printed materials in relation to the congress programme
• Preparation and management of all aspects of the scientific programme
• Contact with congress VIPs, including committee members and invited speakers
• Work closely with the committee on the scientific programme, including abstract processing/scheduling
• Receive/upload information/data to the congress database
• Provide texts (in English) for project literature, including proofreading
• Responsible for print production of congress materials; coordinate/plan with graphics department
• Manage, track and QA the scientific programme

Requirements:
• Highly detail-oriented, well organized, attention to detail and accuracy processing vast amounts of data
• Ability to prioritize and multitask
▪ Ability to work in a fast-paced environment; multitasking during all congress phases (prior to or during the event), with ability to work well under pressure for long periods, to prioritize and meet tight deadlines
• Pro-active approach – ability to foresee problems before they occur
• Service oriented – ability to communicate effectively with clients (high level of customer service)
• Strong written and verbal communication skills with ability to draft correspondence in English
▪ Ability to work long hours, overtime as needed, including weekends
▪ Ability to travel abroad (5-6 times per year)

Education & Experience:
• Bachelor’s degree – an advantage
• Fluent English, verbal and written communication (mother-tongue level)
• Computer skills – high level comprehension/ability, including Microsoft Office, Outlook, Internet, ERP systems; familiarity with additional computer programmes, CMS and website back office editing – advantage
• Experience in Hotels, Tourism, Travel or Professional Event Management industry – an advantage
• Knowledge of rates, established concepts and role of employees in the hotel industry – an advantage
• Experience working in an international/global environment – an advantage

Industry Intelligence Analyst – Tel Aviv

Kenes Group has an exciting opportunity for an Industry Intelligence Analyst to join a team of leading research experts.

We are looking for a candidate with knowledge in pharma, life science, and healthcare. In this role, you will deliver insightful research on issues across the healthcare and industry sector,  create business intelligence research reports, and support the sales team.

Responsibilities:

  • Extensive industry and market research
  • Monitoring industry news channels and scientific publications
  • Analysis and insights  of industry trends
  • Follow the industry developments: pipeline, patents, mergers, acquisitions, clinical trials etc
  • Maintain up-to-date knowledge on the therapeutic areas and their marketing dynamics
  • Support the sales department and management with:
    • Developing and providing business intelligence reports
    • Preparing competitive analysis for the Kenes Group clients: validation of the topics and industry support, drawing suggestion for the potential new topics and more
    • Follow the compliance codes and regulations

Scientific Programme Coordinator – Tel Aviv | Sofia

Kenes Group is looking for a Scientific Programme Coordinator to join our Operations Department. The Scientific Programme Coordinator will be responsible for our events’ scientific programme planning, coordination, and management.

Responsibilities:

  • Plan, coordinate and manage all aspects of the scientific programme
  • Communicate with clients, congress VIPs, committee members, and invited speakers
  • Schedule and organise committee meetings and maintain programme agendas
  • Work closely with the committee on the scientific programme, including planning, inviting speakers, abstract submission, reviewing and scheduling, and providing solutions and recommendations
  • Manage, track changes, and QA the scientific programme
  • Communicate logistical arrangements to faculty and reimbursement processing
  • Draft and keep track of correspondence in English
  • Responsible for written communications, promotional, print and online materials for the congress programme – including providing texts (in English), proofreading and QA
  • Ensure implementation of work procedures, policies, and practices
  • Plan, track, and prioritise tasks in timelines and work schedules, and adhere to deadlines

Requirements:

  • Well organised, detail-oriented, and accurate in processing information
  • Ability to prioritise and multitask (4-6 projects simultaneously)
  • Ability to work efficiently in a fast-paced environment and under pressure
  • Pro-active approach – ability to foresee problems before they occur
  • Service-oriented – ability to communicate effectively with clients
  • Strong collaboration skills and a good team player
