Mission:
A key client at Kenes congresses are our sponsors and exhibitors. The Industry Operations Representative is the person who collects, coordinates and ensures delivery of these supporter’s requirements.
The position requires excellent organization skills to collate all the supporter requirements; strong inter-personal skills to manage the relationship with the client and the internal counterparts; and an innovative spirit to be able to see the supporter’s activities at the congress and help them to design an experience for their participants too.
Responsibilities:
Operations & Production
- Coordinate Industry client operations from A – Z on time and budget
- This refers to exhibitors and sponsors who order particular services and products per congress
- Manage the communication and orders from the exhibitors and sponsors
- Responsible for the planning/managing technical /operational aspects referring to these products
- Act as professional advisor on suitability and technical requirements of exhibition and sponsor products during the planning stage
- Liaise and work closely with internal core project team – distributing product requirements and management where necessary
- Adhere to defined budget, submit purchase orders and payment approvals in ERP system
- Work closely with clients on their own logistics (i.e., clients preferred booth/congress set-up, style, design and production)
- Work with suppliers and service providers on congress production, including (but not limited to) booth builders, A/V, IT, and shipping
Service Awareness & Relationship Management
- Ensure Excellent customer service and quality delivery
- Act as Kenes Group’s representative with clients/suppliers, implementing high standards and quality
- Proactively assess, clarify, and validate customer needs on an ongoing basis
- Grow and further develop existing and new business – by offering additional products and services to sponsors and exhibitors
- Establish productive, professional relationships with key personnel in assigned customer accounts
Innovative Spirit
- To consider the supporter’s activities at the congress as a whole and to assist in designing additional elements to enhance their own customers experience
- Includes learning and developing proficiency with mobile applications, new IT software, event management technology
On-Site Production
- Supervise all Exhibitor and Sponsor needs at the congress.
- Supervise suppliers/sub-contractors work as related to technical requirements
Requirements:
- Excellent time management skills, ability to prioritize and multitask
- Highly service oriented
- High degree of accuracy
- Excellent interpersonal and communication skills (written and spoken)
- Team player
- Ability to work under pressure and meet deadlines
- Ability to work overtime as required, including weekends and holidays – particularly for travel to events
- Position requires frequent travel abroad
Education and Experience:
- Academic degree – advantage
- Previous experience in exhibitions management and production – advantage
- Previous experience in client liaison or account management
- Previous work experience in an international environment with global offices/markets
- Experience in budget management – advantage
- Prior knowledge of mobile and event technology – not required, but proficiency with new technologies – advantage
- Fluent/high-level English (written and spoken)
- Computer skills – Outlook, Word, Excel, PowerPoint
